Position: Admin & Finance Associate

Background
UW International Training and Education Centre for Health Private Limited (UW I-TECH India) is a national level organization, engaged in development of skilled health work force and effective health systems for HIV/AIDS care and treatment.
I-TECH India provides technical assistance to the National AIDS Control Organization (NACO) India to support implementation of the national Antiretroviral Therapy (ART) program, in partnership with the US Centers for Disease Control and Prevention (CDC) and with funding from The US President’s Emergency Plan for AIDS Response (PEPFAR).
Position Overview
The Admin & Finance Associate will work closely with the Sr. Operations Manager and will be responsible for providing day-to-day admin, procurement, and finance support to all staff.
Duties and Responsibilities

- Responsible for day-to-day office administration
- Responsible for travel support (including travel bookings, hotels, and other logistics) for all staff, consultants and visitors.
- Support in Office and Inventory Management.
- Support in Procurement activities.
- Support Sr Operations Manager in vendor management for equipment, supplies, printing services, and maintenance of equipment under established guidelines.
- Manage logistics support during meetings, trainings, seminars, conferences, events – booking/ finalizing of venue/ hotel/ facility/ centres as per the requirements under the guidance of the Sr Operations Manager.
- Provide support to Finance Manager in reviewing of expenditures submitted by the staff and vendors with requisite documents/compliances for processing payments.
- Provide support to Finance Manager for audit by providing necessary documentation and information.
- Day to day office safety and security and oversight of housekeeping

- Any other admin support to staff as requested
- Any other task as assigned by Sr. Operations Manager.
Required Skills and Qualification:
-
- Bachelor’s degree in finance, accounting, or relevant field with minimum 3 years of related work experience
- Experience with finance, administration and procurement processes
- Computer skills, including Microsoft Word and Excel, Strong organizational, written, and oral communication skills
- Fluency in written and spoken English
- Ability to carry out actions in an efficient and timely manner
- Track record of being a team player, high integrity, ability to deal with multiple tasks, flexibility and getting critical tasks completed on time
- Experience of working in an NGO or non-profit organization preferred

I-TECH India is affiliated to the global I-TECH network, based at Department of Global Health, University of Washington, Seattle.
I-TECH India provides technical assistance to National AIDS Control Organization (NACO) to support implementation of the national Antiretroviral Therapy (ART) program, in partnership with University of Washington, the US Centers for Disease Control and Prevention (CDC) and with funding from The US President’s Emergency Plan for AIDS Response (PEPFAR).
Position Overview:
The Program Associate will support the effective planning, implementation, and monitoring of the program’s activities. The role will involve documenting key program activities, writing reports, coordination with various stakeholders, and support in organizational branding, ensuring compliance with organizational and donor requirements, and contributing to the achievement of the program’s goals.
Responsibilities/Deliverables:

- Support in program documentation
- Maintain social media accounts and develop updates for regular posting.
- Regular updates and postings on website
- Assist in the development and dissemination of program communication materials.
- Compile, and support in reports of I-TECH activities for timely submission to key stakeholders.
- Support the planning and execution of program events, workshops, and trainings.
- Develop program success stories and other documents.
- Support in developing proposals and protocols as per the requirement.
- Coordinate with teams, and stakeholders as per need.
- Undertake field visits as per need.
Qualifications:

- Masters in Public Health or MBA in Health Management or equivalent.
- 1-2 years of experience in any health program in India.
Skills:
-
- Excellent written and communication skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Ability to work collaboratively in a team and manage multiple tasks simultaneously.
